Provide administrative support primarily to the Tax Department (80%). Assist other accounting and finance departments as time permits. (20%). Interact with all lines of business within AutoNation as well as external consultants and vendors.

Organizational Relationships:


Position interacts with all finance departments and all lines of business within AutoNation as well as with external consultants and vendors..

Job Responsibilities:

Provide administrative support for Tax Department including but not limited to:

  • Secondary  role is to provide administrative support to the VP Tax
  • Primary  role is to provide administrative support to the Tax Department
  • Access and effectively navigate various software applications to support tax functions and projects
  • Creating and maintaining Excel spreadsheets as well as PowerPoint slides/presentations
  • Open, sort and forward large volumes of mail in an efficient and timely manner, particularly as it relates to all taxing authorities
  • Creating and filing of certified mailings/overnight mailings related to time- sensitive and high priority tax items
  • Maintenance of various tax files (including scanning and saving documents) for tax-specific areas including Property Tax, Federal Employer Identification Numbers, Sales Tax, Research binders, etc.
  • Review, track and manage department invoices in a timely fashion
  • Create vendors in accounts payable system
  • Review/ code invoices for payment; submit for payment and file as needed
  • Records Management coordinator for finance team  (Iron Mountain)
  • Occasionally coordinate travel, expense reports, meetings and material preparation
  • Maintain confidentiality and confidential information
  • Maintain tax and finance file room
  • Assist with calendar and other special requests as needed
  • Simultaneously execute a wide range of activities/ requests, and self-directed follow ups
  • Notarize documents, where possible
  • Maintain supply orders and sending communications to the team on related matters
  • Manage multiple tax email inboxes and coordinate tax obligations calendar
  • Facilitate conference room reservations and assist with resolving space conflicts

General Finance Departmental Assistance:

  • Assist Chief Accounting Officer as needed with travel/expense reporting/meetings (infrequent)
  • Assist  Finance teams as needed with administrative quarterly reporting obligations (infrequent)
  • Paper orders, supply orders, and sending communications for Finance departments

Event/Meeting planning as necessary

  • Demonstrate behaviors consistent with the Company’s Vision, Mission, and Values in all interactions with customers, co-workers, and suppliers.
  • Adheres to all company policies, procedures, and safety standards
  • Perform other job functions approved by VP Tax

Qualifications:

  • Ability to demonstrate initiative, flexibility, and a willingness to pitch-in as needed.
  • Minimum 3 years working in clerical  support work in a professional office environment.
  • Ability to maintain confidentiality and discretion in all aspects
  • Demonstrated collaborator and flexible demeanor to function successfully in a dynamic environment
  • Intermediate to advanced working knowledge of MS Office Suite – particularly MS Excel.
  • Demonstrated skills at effective problem-solving.
  • Demonstrated organizational skills with ability to prioritize workload and multi-task when needed
  • Excellent follow-up skills with ability to anticipate needs and demonstrate excellent judgment.
  • Ability to maintain and project a professional appearance and demeanor
