About the Gift Processing Unit

The Gift Processing unit plays a crucial role in facilitating the receipt, acknowledgment, and management of philanthropic contributions from donors. It ensures that every donation is accurately recorded and processed in a timely manner. Gift processing includes verifying donor information, correctly categorizing and coding donations, and maintaining comprehensive and accurate records in the donor database. Additionally, it involves generating timely acknowledgments and receipts to donors, which are essential for maintaining donor satisfaction and compliance with legal and regulatory requirements.

Position Information

Hiring Department: Institutional Advancement

Posting End Date: Open until filled. This posting may close once a sufficient number of qualified applications have been received.

Hours: 40 hours per week, standard Monday- Friday 8:00am- 5:00pm

FLSA status: Exempt

Earliest Start Date: As soon as possible.

Salary: $40,000.00 annually.

Work Modality: Hybrid work arrangement with an onsite requirement of 16 hours per week. Institutional Advancement is seeking a candidate within a commutable distance from campus (75 miles or less).

What You'll Do

Reporting to the Associate Director of Gift Processing, you will play a key role in supporting the processing of gifts within the University's donor and alumni database system, Raiser's Edge.

In this position, your primary responsibilities will include accurately processing and maintaining records of all gifts, pledges, and membership transactions in a timely manner. You will prepare receipts and acknowledgment letters for the gifts received and perform detailed tasks related to recording, classifying, examining, and verifying various records and documents. As a liaison, you will facilitate effective communication between the department and both internal and external stakeholders.

You will also be responsible for ensuring the integrity of the Institutional Advancement database by maintaining accurate gift and biographical information for alumni and donors. This will involve reviewing reports, interpreting and entering gift data, verifying its accuracy, and retrieving information as needed. Additionally, you will update and correct donor records, manage special projects, and provide clerical support as required.

Your role will also include handling incoming mail by reading and routing it appropriately, attaching relevant files for response, and maintaining organized records. You will respond to inquiries via phone and email, always ensuring effective communication. Furthermore, you will participate in events, projects, committees, professional training, industry conferences, and conventions, staying informed about CASE reporting standards and updates from Blackbaud.

Essential Functions

Performs a variety of assignments and analyses that impact the Advancement function.

Coordinates donor and funding efforts, services, events, programs, etc. as assigned.

Performs a variety of tasks such as: researching and analyzing data and preparing reports/findings; planning and coordinating events, programs, or services; maintaining data records; processing forms and requests, etc.

Solves routine and complex problems and identifies new, less obvious solutions and/or provides recommendations.

Impacts the quality, timeliness, and effectiveness of the team through planning, organization, coordination, and occasional oversight.

Uses discretion to modify work practices and processes to achieve results and/or improve efficiency.

Knowledge of all Microsoft Office software and able to learn and use institutional software systems.

Complies with all State and University policies.

Other duties may be assigned; specific roles may have additional responsibilities due to the nature of the specific role/division/unit.

Qualifications

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

Required Qualifications:

License: A Valid State Issued Driver's License

Education: Bachelor's degree

and

Experience: 1 (one) year of related experience with database management, donation processing, cash-handling, or accounting and training to the statement of duties and responsibilities; or equivalent combination of education and experience.

Preferred Qualifications:

Experience in a non-profit organization and/or higher education fundraising setting

Experience working with Raiser's Edge

Knowledge, Skills & Abilities

Proficiency in Microsoft Office software and ability to learn and use institutional software systems.
