Duties and Responsibilities:
Under direct supervision, performs general clerical and/or accounting duties in one or more of the following areas:
Accounts Receivable: Assist with monitoring and maintaining the integrity and accuracy of the student accounts receivable system through problem resolution and verification of student account balances and refunds; analyze student and non-student accounts; research and respond positively to related inquires and complaints; assist with the collections process, research delinquencies, perform collections calls, prepare related collections paperwork; prepare paperwork to process third-party billings; code accounts as instructed and update the database timely.

POSITION SUMMARY The Director of the Welcome Center is responsible for overseeing the student enrollment experience at Nashville State’s student welcome center on the Whitebridge Road Campus and coordinating similar services on the College’s extended campuses throughout its service region.
ESSENTIAL JOB FUNCTIONS/JOB DUTIES AND RESPONSIBILITIES Provides leadership, management and operational strategies to advance Welcome Center goals and initiatives. Supervises Welcome Center staff. Title: Director, Student Billing and Account Services
POSITION SUMMARY The Director of Student Billing and Account Services leads and manages the department’s efforts to assess, collect, disburse and report student tuition and fees, including ensuring all student/nonstudent accounts are invoiced accurately and timely and funds are collected securely in accordance with any applicable policies, rules or regulations. The Director also serves as the Colleges liaison to its banking institution and is responsible for monitoring and reviewing all banking transactions.
ESSENTIAL JOB FUNCTIONS/JOB DUTIES AND RESPONSIBILITIES Manages the day-to-day financial operations of the Office of Student Billing and Account Services. This includes administering the College’s cash management portfolio, currently over $50m in assets, overseeing cash management portfolio transactions, both on the cash management and accounting sides, for execution and entry into the College’s general ledger and maintaining an effective banking structure for the College. Supervises all supervisory and support staff in the Office of Student Billing and Account Services. Determines daily cash requirements, cash concentration, short-term cash investment and maintenance of appropriate cash flow. Administers security for online banking services, maintains bank account, including opening/closing accounts, maintaining signature cards, reviewing services, monitoring monthly bank analysis charges and maintaining documentation for all College bank accounts. Manages student accounts receivable rules and validation tables in the College’s Banner database, including overseeing the maintenance of detail code, third party contract, fee waiver and exemptions tables, setting up refund and fee assessment tables for each term, regular testing with campus stakeholders to ensure accurate tuition and fee assessments, coordinating drop dates for nonpayment with IT and other departments and coordinating registration activities with other departments as needed.
Monitors control settings and coordinates upgrading and management of the College’s cashiering software, TouchNet. This includes verifying feeds from cashiering software are received in the Banner system, deposits and reconciliations occur accurately, and timely and receipting functions are compliant with TBR, institution and Payment Card Industry data security standards. Oversees the accounts receivable function of the College, including reconciling and monitoring billing and collection processes for student tuition and fees, third-party scholarships and contracts and general, non-student receivables, auditing billing files and communicating with students and stakeholders regarding accounts receivable matters. Liaises with the College’s banking institution to complete daily banking transactions, authorize wire transfers, issue stop payment orders on checks, address forgeries and disputed bankcard charges, monitor bankcard transactions and verify bank charges for services rendered. Oversees reconciliation of bank statements, including operating, payroll and petty cash, reviews outstanding checks each month, ensuring those that are more than six months old are voided, and maintains, cancelled check files.
Reviews monthly bank statements to ensure entries are made for the Local Government Investment Pool, maintains records for customers/vendors who use the Automated Clearing House for payments, coordinates cash-related activities at extended campuses and monitors safe activity on a daily basis. Directs the overall cashiering function of the college by monitoring and reconciling student accounts, helping students resolve tuition/fee charges, updating and maintaining external publication/website information with regard to general cashier processes and those related to tuition/fees and generating and submitting 1098T forms to students and the IRS. Manages the disbursement of student refunds as a result of adjustments in tuition and fee charges or awards of local, state or federal financial aid dollars, ensuring funds are disbursed timely in accordance with applicable local, state or federal regulations. Performs fiscal year-end processes in Banner, including reconciling and coding entries to clear accounts and preparing year-end reports. Establishes and maintains a department culture of respect and accountability in interactions with other departments across the College.

Work performed may include, but is not limited to: technical/clerical tasks as needed; assisting with processing accounts payable for the institution; back-up cashier duties including creating student invoices and taking payments; reconciling travel payment accounts and procurement card logs; compiling and submitting information for various Business Office reports; receiving and distributing orders and supplies; assisting with deposits; assisting with bookstore functions as needed, and other duties as assigned. Minimum Qualifications
High School or GED. At least three years of successful, recent employment experience in an office environment. Proficient computer skills and working knowledge of information management systems or ability to master such systems as well as typing; 10-Key and data entry skills; along with strong Microsoft Office skills. Strong customer service skills. Work with minimum supervision on moderately difficult to complex clerical tasks. Ability to effectively analyze and evaluate detailed data. POSITION SUMMARY
The Director of the Student Conduct Office works to engage, educate and support students in persistence and success in reaching their educational, and professional development goals. The Director serves as the Chief Hearing Officer for the College, directing the Student Conduct Program, which includes case management, oversight for adjudication and due process.&nbsp; The director also works to procure culturally responsive student services that address the complex academic, social, emotional and academic needs in conjunction with the work of the Care Team and the Bit Team. The director is the primary expert in Maxient, the record management platform used by the Office of Student Conduct. The Director serves on the campus’s Behavior Intervention Team (BIT). &nbsp;The position manages the processes for conduct adjudication and due process and the resolution for general complaints from students against other students, faculty members and/or staff.&nbsp; Office Duties - Maintain regular office hours, assist with phone calls and office work as needed, and attend staff meetings. This is a full-time position reporting to the Assistant Director of Recruitment and K-12 Partnerships. The Recruiter creates awareness and disseminates information about the programs of study at Southwest Tennessee Community College to prospective high school and adult students and the mid-south community through recruitment events held at area high schools, community events and programs hosted by Southwest Tennessee Community College. He/she may work some evenings and weekends as needed; travels between the two main campuses, site locations; and travels mostly within the state for attendance at professional meetings. He/she will need to be bilingual in English and Spanish.
Job Duties

<li>Inspires prospective students to take the first step in the college enrollment process and track each applicant through the enrollment process.</li>
<li>Manages a recruitment territory made up of area high schools, businesses and community events; provide monthly data and reports regarding enrollment funnel for the territory; conduct phone calls to prospective students; conduct campus tours and assist students and parents in the Admissions office.</li>
